Webinar Events

If participants will join the Event online, configure the session details in the Event Details page. You can provide connection details from a webinar platform (such as Webex or Zoom) or generate a Microsoft Teams meeting link directly from the LMS. (see Microsoft Teams Integration).

Important!

If using a third-party webinar platform, schedule the webinar and obtain the connection details before creating the Event.

Configure Webinar Details

1.Select the Include webinar check box.

oTo prefill the webinar detail fields, configure the default settings under Calendar > 3-dot options > Settings > Defaults > Webinar.

2.If using Microsoft Teams, see Teams Meeting Links instructions.

3.Enter or paste the webinar or meeting URL.

4.Enter any additional connection details required for participants.

5.Under Capacity, specify the maximum number of attendees allowed.

6.Enter the Enrollment Opens date and time, or use the calendar and time popups to select them.

7.Select the Enrollment Closes arrow to select when registrations will no longer be accepted.

8.Add the Contact(s). The process is the same as selecting Contacts (Step e.) in the Scheduling a Single Event topic.

Add a Teams Meeting Link to an Event

1.Create or edit a scheduled webinar/event in the LMS Calendar.

2.Check the Include Webinar option.

3.Select the Teams Meeting option.

4.Add the Event Contact(s). To ensure proper management of the Teams meeting at least one Event Contact is required to be added to the meeting. It is highly recommended that the Instructor, Trainer, or Facilitator be designated with this role. For more information about configuring Event Contacts in your LMS, see Event Contacts.

Important!

Each Teams meeting requires an Event Contact who will be automatically designated as the Teams meeting organizer.

5.Save the event. Once saved, the LMS automatically generates the Microsoft Teams meeting link and associated meeting details.

6.Complete any remaining event details and select Save.

7.Add users to the event or allow users to self-enroll.

8.Invited or enrolled users will receive the standard Outlook/Teams invitations. Accepted meetings appear in their Outlook and Teams calendars.  

9.After the session, attendance data is synchronized nightly from Microsoft Teams back to the LMS for reporting and completion tracking.

Important!

Attendance, transcripts and recordings are available via the Teams chat for organizers (Event Contacts) after the meeting ends but are subject to your organization's retention policies. We do not store this data, the organizer and the firm is responsible for this information.

Teams meeting settings are controlled by the organizers (Event Contacts) when the meeting starts. It is recommended the organizer join the meeting 5 minutes early to access the Controls within the meeting, i.e. lobby settings, who can present, etc.
