Adding multiple events to the LMS calendar in one bulk import is simple when following some basic rules and using the correctly formatted Blank Import Events Spreadsheet Template.

The Calendar Import Events feature is available for users with permission to add events, via Calendar > 3-dot options > Import Events.

The Intellek LMS supports events that span within a single day, with one or more locations and/or a single webinar via manual entry or bulk import.

Use the following guide to complete the Import Events Spreadsheet Template.

Import File Format

1. EventNumber	Number		N	Used for importing an Event group; multi-location events or events with Webinar AND Location(s). The actual number supplied is not important, what is important is that the same number is used for all event locations/webinar in that event group. The Event number must be unique for each group represented in a single spreadsheet, but can be reused for other imports.
2. CourseIdentifier	String	22	Y	Must match the CourseID of an Active Scheduled Course that exists in the LMS.
3. EventName	String	200	N	If not supplied we will use the Course Name
4. EventDescription	String	Unlimited	N	If not supplied we will use the Course Description
5. StartDateTime	Date		Y	This should be defined for the time zone defined in the Location. Multi-location events will use the time zone of the first specified Location in the group of events. If the first specified Location is Webinar we will use the time zone of the FirmWide Location. Use mm/dd/yyyy hh:mm format.
5. EndDateTime	Date		N	If not supplied, we will use the default Duration defined in the Course. If supplied, this should be defined for the time zone defined in the Location. Multi-location events will use the time zone of the first specified Location in the group of events. Use mm/dd/yyyy hh:mm format.
6. LocationName	String	64	Y	Must match the Location name of an Active Location that exists in the LMS or if 'Webinar' is entered this will be equivalent to checking the 'Webinar' check-box when manually adding an event in the LMS Calendar.
7. VenueName	String	64	N	Must match the Venue name of an Active Venue that is assigned to the Location specified
8. Capacity	Number		N	If not supplied, we will use the default defined in the Course for the Event size
9. EnrolmentOpenDays	Number		N	If not supplied, we will use the default defined in the Course
10. EnrolmentClosesMinutes	Number		N	If not supplied, we will use the default defined in the Course. This must match what CFMs see in the drop-down in the LMS. Valid values are any of the following: 0, 5, 10, 15, 30, 60, 120, 240, 480, 1440, 2880, 4320, 5760, 7200, 8640, 10080, 20160, 30240, 40320

Notes

1.Certificates for imported events will be assigned based on the associated course certificate.

2.Surveys for imported events will be assigned based on the associated course survey.

3.Venue conflict checks are performed.

4.Contact conflict checks are performed.

5.Critical Errors - If any critical errors occur during the process, the import will be aborted and no events will be imported.

6.Warnings - The LMS will attempt to import all records that have no warnings. Warnings will display in a banner on the import page after an attempted import. Those records that have warnings will not be imported. Where an event is part of an Event Group (indicated by specifying EventNumber) all elements within that Event Group must pass validation. If a single element fails validation the Event Group will not be imported.
